What's on the template
Header. Business name, address, phone, contractor license number, invoice number and date.
Customer and job. Customer name and billing address, and the job address. On rentals and new construction, they're rarely the same.
Labor. Description, quantity, unit, rate and amount. Typical HVAC labor lines:
- Diagnostic or service call fee
- Flat-rate repair, such as "Replace dual run capacitor"
- Maintenance visit (seasonal tune-up)
- Install labor for a system replacement, as one line or by phase
- After-hours or weekend premium
Parts and materials. Same columns. Capacitors, contactors, motors, igniters and flame sensors by part number; refrigerant by type and weight; filters by size and quantity; for installs, the outdoor unit, indoor coil, furnace or air handler, thermostat, line set, pad, disconnect and whip.
Totals. Subtotal, tax and total.
Terms and notes. Payment terms, warranty notes, and a signature line.
How to fill it in
- Describe the problem and the fix. "No cooling. Found failed 45/5 capacitor. Replaced capacitor, verified amp draw and temperature split." That one sentence answers most of the questions a customer would call about.
- Record the equipment. Model and serial number of every major component you worked on or installed. Put them in the notes section if there's no dedicated field.
- List refrigerant as its own line. Type (R-410A on many older systems, R-454B or R-32 on many newer ones) and the amount added. Don't bury it in a "repair" total.
- Show agreement pricing clearly. If the customer is on a maintenance agreement, show the standard price and a separate member discount line. If they aren't, a note like "Members save 15% on this repair" is a low-key way to sell the plan.
- Split labor and parts for tax. Sales tax on HVAC labor and equipment varies by state, and the split lets you apply it correctly.
- Set payment terms. Service calls are usually due on receipt. Installs often run on a deposit at signing, a payment at equipment delivery, and the balance at completion. State each one.
- Write the warranty. Your labor warranty length, plus a note that equipment carries the manufacturer's warranty, and whether registration is required.
- Get the signature. A signed invoice confirms the system was running when you left.
Service call invoice vs install invoice
The same template handles both, but they look different when they're done.
A service call invoice is short: a diagnostic fee, one or two flat-rate repairs, the parts used, and a note on what you found. It's paid on the spot. Keep the description tight, and put anything you recommended but didn't do (a weak blower motor, a dirty coil, a duct leak) in the notes. That note is the start of your next sale, and it protects you if the part fails next month.
An install invoice is long and usually follows a signed estimate. Reference the estimate number at the top, list the equipment with model numbers, show any change from the original scope as its own line, and subtract deposits already paid so the balance due is obvious. If a rebate or financing was part of the deal, note it, but don't show money as received until it actually is.
Common mistakes
- No serial numbers on installs. The first warranty claim turns into a trip back to read the data plate.
- Refrigerant hidden in a lump sum. It's the line customers question most, so give it a line of its own.
- Forgetting the filter size. Write it down. The customer will ask next season, and so will your tech.
- Not mentioning the agreement. Every invoice to a non-member is a chance to sell one. Every invoice to a member is a chance to show the savings.
- Vague install scope. "Install new AC" doesn't say whether the line set, pad, thermostat or permit were included.
- Emailing the CSV instead of a PDF. The customer gets the PDF. The CSV is your working file.
When to switch to software
Paper and templates work for a one-truck shop. They get harder once you have maintenance agreements to track, techs writing invoices in the field, and equipment records you need to find again in three years.
HVAC software keeps the equipment, agreement and invoice history on the customer record, lets techs present flat-rate prices from a pricebook, and takes payment on site. As of October 2026, Housecall Pro Essentials is $149/mo billed annually for up to 5 users with flat-rate pricing, and MAX at $299/mo adds recurring service plans for agreements. Jobber Grow is $229/mo for 5 users billed annually. Larger shops with call centers tend to look at quote-only platforms like ServiceTitan and FieldEdge.
Questions owners ask
What should an HVAC invoice include?
Your business details and license number, customer and job address, invoice number and date, a description of the work, labor and parts lines, tax and total, and payment terms. For HVAC specifically, add equipment model and serial numbers, refrigerant type and amount added, filter sizes, and the warranty on both parts and labor.
Can I use this HVAC invoice template in Google Sheets?
Yes. Download the CSV and import it into Google Sheets with File > Import, or open it directly in Excel. The CSV carries the fields and line items as plain data, not the page design. When you need a finished invoice for the customer, fill in the page and save it as a PDF.
Should I list refrigerant on the invoice?
Yes. Write the refrigerant type and the amount added, in pounds and ounces, as its own parts line. Customers ask about refrigerant charges more than almost anything else, and a clear line helps. It also gives you a record for the next visit if the system keeps losing charge, which points to a leak that needs to be found.
How do I show a maintenance agreement discount?
List the regular price for the repair, then add a separate discount line labeled with the agreement name, such as 'Comfort Club member discount, 15%.' Showing the discount as its own line reminds members what the agreement saves them, which helps at renewal time, and keeps your pricebook rates consistent.
Why record the equipment serial number on an install invoice?
Manufacturers use the serial number for warranty registration and claims, and many require you or the homeowner to register within a set window after install to get the longer parts warranty. Recording model and serial numbers for the outdoor unit, indoor coil and furnace or air handler saves a lot of digging when a part fails.
