Service Fusion Review & Pricing: Plans, Costs and Verdict
Service Fusion charges a flat monthly price with unlimited users, which makes it one of the cheapest options per tech once you pass about 8 people. The interface is dated, and Starter leaves out more than you'd expect.

Our verdict
Service Fusion is the best flat-priced option for growing service companies with many techs who are tired of paying per seat.
Unlimited users on every plan, month-to-month terms and free onboarding make the cost easy to predict as you hire. Plus is the sweet spot for most shops, with job costing, inventory, photos and integrated voice and text. Users commonly report a dated interface and a clunky mobile app, and Starter is thin. Compare it with other field service management software if your team is under five people.

Service Fusion pricing is flat. Starter is $245 a month, Plus $382 and Pro $627, or $208, $325 and $533 a month billed annually, and every plan includes unlimited users. For a 15-tech HVAC or plumbing shop, that works out far cheaper per person than per-seat tools. For a solo tech, it's expensive. The details that matter are what each tier leaves out (Starter doesn't even include job photo uploads) and the add-ons for eSignature, inventory, job costing and service agreements. Here's the plan-by-plan breakdown and who should pick something else.

What Service Fusion is
Service Fusion is field service management software for home-service and trade contractors: HVAC, plumbing, electrical, cleaning, pest and more. It handles the service-call loop of booking, scheduling, dispatching, estimating, invoicing and payment, and syncs with QuickBooks. On higher plans it adds job costing, inventory, service agreements, a customer portal and progress billing.
What makes it different is how it charges. Every plan includes unlimited users. Most competitors charge per seat or per tech, so their bill grows with every hire. Service Fusion's doesn't. For a shop planning to go from 6 people to 15, that's the whole story.
Scheduling and dispatch
Scheduling and dispatching are on every plan. You book the call, assign a tech, and the job lands on their phone. Text message alerts keep customers posted about their appointment. GPS fleet tracking is an add-on on every plan, priced by quote.
For a shop with a dispatcher running 12 trucks, the board does the job. Users commonly report the interface feels dated compared with newer apps. It's functional rather than pretty.
Estimates, jobs and invoicing
Every plan includes estimates with multiple options, jobs, invoicing and payment processing. Offering a repair option and a replacement option on the same estimate is standard practice for HVAC and plumbing, and it's here from Starter up.
Pro adds progress billing and recurring invoicing. Progress billing matters if you do installs or small projects billed in stages. Recurring invoicing matters for monthly maintenance customers.
Job costing, inventory and service agreements
Job costing and inventory management are on Plus and Pro, or $60 and $50 a month as add-ons for Starter. Job costing shows what each job actually made after labor and parts. Inventory tracks what's on each truck and in the shop.
Service agreements show up two ways on the pricing page: as a $149-a-month add-on, and in the Plus and Pro feature lists. Ask which applies to your plan before you sign, because for an HVAC shop selling maintenance plans, it's a $1,788-a-year question.
Photos, voice and text
Job photo uploads aren't included on Starter. That surprises people, since a tech snapping a picture of a cracked heat exchanger or a corroded water heater is basic documentation. Plus adds photo uploads and integrated voice and text, so calls and texts with customers live in the system.
The mobile app
Techs use the app for their schedule, job details, estimates, invoices and payments. Users commonly report it's clunky compared with newer field service apps. Have two techs run a day of calls in the demo environment before you commit.
Service Fusion pricing in plain terms
Here's the lineup as of October 2026. Every plan includes unlimited users and personalized onboarding.
| Plan | Monthly | Billed annually | Per year (annual) | Key additions |
|---|---|---|---|---|
| Starter | $245 | $208/mo | $2,496 | Scheduling, dispatch, estimates, invoicing, QuickBooks |
| Plus | $382 | $325/mo | $3,900 | Job costing, inventory, photos, voice and text |
| Pro | $627 | $533/mo | $6,396 | Customer portal, eSign, progress and recurring billing, API |
Add-ons
- eSignature: $40/mo
- Inventory Management: $50/mo
- Job Costing: $60/mo
- Service Agreements: $149/mo
- GPS fleet tracking and ServiceCall.ai: priced by quote
Why Plus is usually the right plan
Starter at $208 a month billed annually plus inventory ($50) and job costing ($60) comes to $318 a month. Plus is $325 billed annually, only $7 more, and includes both, plus photo uploads and integrated voice and text. Unless you truly need none of those, skip Starter.
Per-user math
| Team size | Plan | Billed annually | Per user per month |
|---|---|---|---|
| 1 | Starter | $208 | $208 |
| 6 | Plus | $325 | about $54 |
| 12 | Plus | $325 | about $27 |
| 18 | Pro | $533 | about $30 |
| 25 | Pro | $533 | about $21 |
The bigger the team, the better it looks. Under about five people, a per-user or job-based tool usually costs less. ServiceM8, for example, runs $29 to $149 a month for most small shops, priced by job volume rather than users.
Contract terms
Service Fusion says plans are month-to-month with no contract requirement, and annual billing takes 15% off. Personalized onboarding is included on every plan with no setup fee. There's a free demo; the pricing page doesn't mention a free trial.
When flat pricing beats per-seat pricing
The break-even is easy to work out with your own quotes. Divide Service Fusion's plan price by the per-user price of the tool you're comparing it with. That's how many users it takes for Service Fusion to come out cheaper.
Say a per-seat competitor quotes you $50 per user per month. Plus at $325 billed annually breaks even at about 7 users. At $30 per user, it breaks even at about 11. At $100 per user, about where third-party estimates put some quote-only tools such as FieldEdge, Plus is cheaper from your fourth user.
Then think about where you'll be in two years, not today. A shop with 6 people that plans to hit 12 pays the same $325 the whole way on Plus. On a per-seat tool, the bill doubles with the headcount. That predictability is worth something when you're budgeting for trucks and hires.
The flip side: if you're a 3-person shop with no plans to grow, you're paying for capacity you won't use.
Switching to Service Fusion
Onboarding is included, but plan the move yourself.
- Pick a slow month. For HVAC that's usually spring or fall between heating and cooling peaks. For plumbing, avoid the first hard freeze.
- Export customers, equipment and open agreements from your current system before you cancel it. Agreements with renewal dates are the most painful thing to rebuild by hand.
- Build the pricebook before go-live. Techs who can't find the right line item on day one will go back to paper.
- Set up QuickBooks sync early, and run a week of invoices through it before you trust it.
- Run the old system read-only for 60 days so the office can look up history while the new one fills in.
Because users are unlimited, give the office, every tech and your service manager a login from the start. There's no cost to it, and it avoids the "I'll just text you the details" habit.
Where it falls short
Dated interface and app. The most common complaint in public reviews.
Starter is thin. No photos, no inventory, no job costing. It looks like the budget option and often isn't.
Add-on confusion. Service agreements appear both as an add-on and in the plan lists. GPS tracking isn't priced.
Learning curve. Users commonly report setup takes time, especially pricebooks and agreements.
Who should look elsewhere
- Solo techs and 2-to-4 person shops. ServiceM8 from $29/mo or Joist from $10/mo cost far less.
- Shops that want the most modern app. Jobber and Housecall Pro are commonly described in public reviews as easier to use on the phone.
- HVAC shops on QuickBooks Desktop with flat-rate pricing. FieldEdge is built around that.
- Contractors doing long projects with change orders and draws. Buildertrend or Contractor Foreman fit better.
Questions owners ask
How much does Service Fusion cost?
As of October 2026, Service Fusion Starter is $245 a month, Plus is $382 and Pro is $627. Billed annually, they're $208, $325 and $533 a month, a 15% discount. Every plan includes unlimited users and onboarding. Add-ons include eSignature at $40, inventory at $50, job costing at $60 and service agreements at $149 a month.
Does Service Fusion charge per user?
No. Every plan includes unlimited users. That's the main reason to choose it. A 15-tech shop pays the same as a 5-tech shop on the same plan. For per-user math, an 18-person team on Pro billed annually pays about $30 per user per month.
Does Service Fusion have a contract?
Service Fusion says its plans are month-to-month with no contract requirement, and you get 15% off for paying annually. Onboarding is included on all plans. The pricing page offers a free demo but doesn't mention a free trial. Ask for a sandbox account during the demo so a tech can try the app.
Which Service Fusion plan should I pick?
Plus, for most shops. Starter leaves out job photo uploads, inventory and job costing, and adding inventory and job costing to Starter costs within $7 a month of Plus billed annually. Pick Pro if you need a customer portal, eSign documents, progress billing, recurring invoicing or the open API.
Is Service Fusion good for HVAC?
For HVAC shops with several techs, it's a solid flat-priced choice with job costing, inventory and service agreements. Users commonly report the interface and app feel dated next to newer tools. Shops that rely on flat-rate pricebooks and QuickBooks Desktop should also get a FieldEdge quote.
